Meeting Minutes

 

 January, 8, 2008                                   Upper Library

Called to order by Merry Porter               7 pm

 

Attendance:      7 members

  

 

I.        COMMITTEE REPORTS

·         Activities (Merry):

Swim Night : The calendar had indicated that 1/8/08 was the swim night – which is incorrect.  Kristin is waiting to hear back from the Field house on another date.

Skating Night: February 15 6-8 pm is the Chili and skating night at the Portland Street skating rink.  Merry and Lori will make chili.  Lori is still looking for volunteers for this event, and skating experience is not required.  If we do not have ice, this event will be cancelled.

 

 

      II.  TREASURER’S REPORT (Penny)

         We reviewed the budget and which houses have utilized the funds available     

        to them to date.  Penny stated that the majority of these funds are utilized   
        in the second half of the school year.

 

        2 fund requests were reviewed and voted on.

 

We reviewed the reimbursement process is now in place for PTO.  Penny can cut checks for requests for under $50.  She needs the receipt, name, address and phone number of requestor.  For requests over $50, reimbursement can be paid through the school from student activities account and paid out during the schools check run. 

 

An application for PTO Funds form has also been created for purposes of reimbursement and payment for PTO programs.  Fran has copies of this form.

 

    

III. GUEST SPEAKER – Visual Arts Presentation – Ms. Miille and Mr. Jewell

 

The Visual Arts department gave a wonderful presentation of what they do with our students and also displayed some samples of artwork.  They also thanked us to the funds the PTO gives them annually.

 

 

IV.         New Business

·         Meet the Candidates Forum – The PTO will coordinate this forum in place of the February PTO meeting.  Katrina will put together a flyer and distribute to school, coordinate Channel 7 news and Mike Welch as moderator if possible.  Childcare will be available from 6:30-8 pm.  We will have an informal meet and greet from 6:30- 7, and the forum from 7-8pm.  We will try to elicit questions for the candidates in advance..

·         School Sign – The sign has been delivered, but will not be installed until spring.  The mason is requesting some additional information on the detail of the sign before he can move ahead.
